How to Collect Cap Sizes and Closure Preferences for a Club Order

Collect cap format, fitted size and closure preference as separate roster fields, using the supplier’s chart and a physical blank sample. Club cap sizes and closure preferences should not be inferred from helmet size or collapsed into “one size fits all.”

Identify fitted and adjustable options first

Ask which exact blanks are currently offered, whether each is fitted or adjustable, and which closure styles and ranges apply. Keep baseball, flat-brim and curved-brim selections separate. Record unknown values as merchant questions.

Measure only when the blank requires it

For a fitted cap, follow the supplier’s tape position, tension, units and rounding rule. Record head measurement, chart revision, proposed fitted size and sample result. If a value falls between sizes, flag it for review instead of inventing a club-wide rule.

Record closure preference and range

For adjustable caps, record the exact closure construction offered on the blank and the supplier-confirmed range. Do not call every adjustable cap universal. A closure can reach an end position without producing a comfortable or intended crown fit.

Test members near the range extremes

When a club order spans a wide range, test the selected blank on members near both confirmed ends. Check crown depth, band contact, brim position and closure operation. Record sample ID and result; this is a fit check, not a safety or performance certification.

Build a clean roster

  • Member code
  • Cap branch and exact blank ID
  • Fitted measurement and proposed size, if applicable
  • Closure type and preference
  • Color or approved variant
  • Sample tried and result
  • Quantity and approver

Resolve exceptions before quantity totals

Give each incomplete row a named owner and a deadline. Do not silently substitute an adjustable blank for a missing fitted size, or transfer a size between different blank models. If the available range does not cover a member, return that exception to the merchant before approval. Then total quantities by exact blank, color, size or closure variant and compare those totals with the member count. Keep the approved roster version with the artwork proof so purchasing and production use the same order record.

Make the roster easy to audit

Use controlled choices for cap branch, blank ID, color and closure instead of free-form nicknames. Put measurements and units in separate fields, and record the supplier chart or sample revision used to interpret them. Keep a member code rather than unnecessary personal information in the production copy. Before approval, have a second organizer check that fitted sizes add up to the fitted quantity, adjustable variants add up to their quantity, and no member appears twice. Save later changes as a new version with the date, reason and approver instead of overwriting the signed roster.

Keep the working measurement sheet restricted to the organizers who need it, and send production only the minimum approved sizing information required for fulfillment.
